Camp Via West

SUMMER CAMP – APPLICATION AND ELIGIBILITY

Thank you for your interest in applying for Camp Via West. We look forward to receiving your application using our software program: CampSite.

Please note we are adjusting our process for applications this year. We’re allowing people time to fill out the application and enroll without the stress and anxiety of having to rush. Each application will be thoroughly reviewed by the Camp team. It’s important that you fill out all the mandatory questions and supplemental information for us to complete the process. Please start the application early since enrollment works on a rolling basis and sessions can fill up.

On the CampSite application, there are several sections to be completed in addition to choosing your sessions and providing basic contact information. Please click here for the video tutorial on how to complete an application.

The forms have mandatory questions that need to be filled out completely before the Camp team can review your application. Additional medical forms and waivers do not need to be filled out during the application process and can be completed later.

**Please note CampSite will ask you for payment options. Please click monthly regardless of whether you are utilizing self-pay or Regional Center billing. This is a glitch in the system we are hoping to resolve.

BILLING (SELF-PAY)

CampSite’s billing schedule automatically bills based on the selected tuition and number of payments left. Because of this, we highly recommend enrolling as soon as possible to ensure each payment is separated to fit your billing needs. We also have a credit card processing fee of 3.5%.

REGIONAL CENTER BILLING

If you are using Regional Center billing, we require the Regional Center billing form to be completed as soon as possible to evaluate eligibility. This will be found under the forms tab in the billing category. The ACH form is found under the same tab.

CANCELLATION POLICY

  • If your cancellation is made before May 1st, we will send a full refund. Anything After May 1st will be partially refunded. Families will be refunded up to 75% of tuition amount based on time of refund. Last date to request a refund is 2 weeks prior to the start of the enrolled camp session.
  • Exceptions will be made if cancellation is due to an illness verified by a licensed physician and a full refund will be made.
  • Must contact Brie Moran via email at bmoran@campviawest.org for cancellations.

RETURNING FAMILIES (FOR ALL SESSIONS)

  1. Completing the application
    • Please reset your password with your current email we have on file. If you wish to use a different email, you can create a new account.
    • Read and complete the mandatory questions needed to submit your application.
    • Once you apply, you will be added to the waitlist for the sessions selected.
  2. If we need any additional information, we may ask you to provide references to help us gain a broader understanding of your camper and the type of support we may need to provide for them to be successful. Reference requests will be followed up with a 15–30-minute phone call with a member of our staff to review your application and answer any questions we both may have. This will help us to confirm eligibility and appropriate ratios before we can consider your application.

NEW FAMILIES (FOR ALL SESSIONS)

  1. Completing the application
    • Create your CampSite account.
    • Read and complete the mandatory questions needed to submit your application.
    • Once you apply, you will be added to the waitlist for the sessions selected.
  2. References

    Since this is the first time you are applying to Camp Via West, we will require two references from non-family members who currently work with or have recently worked with the applicant. These references can be teachers, teacher aides/paraprofessionals, social workers, therapists, program managers, etc. These need to be submitted before we can move forward with scheduling an interview.   3. Follow up

    Once we receive your application and references, a member of our team will reach out. This will give us an opportunity to get to know each other and answer any questions. This call should take approximately 15-30 minutes.

  4. Next Steps

    After the interview, you will hear back from us within a week to confirm eligibility and provide ratio recommendations.
